Ethical Policies

Open Access Policy

Escribanía Journal adheres, as an editorial policy, to the open access movement. Published articles are protected under the Creative Commons CC BY-NC-SA 4.0 license (This license allows others to copy, distribute, and share the work, as well as adapt, transform, and create derivative works from it, provided that proper credit is given to the author, the work is not used for commercial purposes, and derivative works are distributed under the same license or a compatible one).

APC Policy (No-Fee Statement)

Escribanía is a Diamond Open Access journal. This means it generates no costs for either readers or authors. The journal is fully funded by the University of Manizales, in line with its commitment to the democratization of scientific knowledge, providing free and immediate access to its content through its Open Journal System (OJS) portal, under the principle that free publication of research promotes greater global knowledge exchange. Consequently, the journal does not require monetary payments from authors or institutions for the management, review, evaluation, processing, or publication of articles, and therefore does not apply any APCs (Article Processing Charges).

Anti-Plagiarism Policy

Manuscripts submitted for possible publication in the Journal must be original and unpublished. The editorial team will subject them to originality review through Turnitin (a plagiarism detection tool), which generates a percentage of similarities with other documents. Manual filtering of the observations made by the software will be conducted; however, for the article to be accepted, it must have a similarity percentage below 15%.

By submitting a manuscript for review, authors agree that the document may be examined in order to prevent plagiarism and promote ethical publication policies.

Authorship Policy

In accordance with the guidelines of organizations such as the Committee on Publication Ethics (COPE), the Journal considers that a person’s participation as an author results from their significant contribution to the scientific aspects of the work. Therefore, for a person to be included as an author of a manuscript, they must meet the following four requirements:

  1. Have contributed to the conception, development, data collection, or analysis or interpretation of data for the work.
  2. Have participated in drafting the manuscript or critically revising it.
  3. Have the ability to take responsibility for all aspects of the manuscript related to the accuracy or integrity of the recorded data.

Accordingly, Escribanía Journal rejects any responsibility for possible conflicts arising from the authorship of published works.

Artificial Intelligence

UNESCO defines artificial intelligence as “machines capable of imitating certain functionalities of human intelligence, including perception, learning, reasoning, and language interaction.” These machines encompass a wide range of approaches intended to improve data-based decision-making and make accurate predictions across different disciplines and sciences.

Therefore, Escribanía Journal adheres to the position of the Committee on Publication Ethics (COPE, 2023) regarding authorship and artificial intelligence, according to which AI tools cannot be recognized as authors, since they do not meet the requirements of authorship, ethical responsibility, conflict-of-interest declaration, or copyright management. However, Escribanía acknowledges the use of artificial intelligence in scientific articles but reminds authors that they remain responsible for the content of the work. Therefore, the following is established:

For Authors

Research and Source Consultation

Authors are not required to report the use of artificial intelligence for analyzing or consulting bibliographic sources, but authors are responsible for verifying such information.

Style Editing

Authors must mention in a footnote the use of artificial intelligence tools employed to check grammar, spelling, and references, as follows:

“During the preparation of this text/article/manuscript, the tool [AI name] was used for purposes of [style correction, spelling, or reference verification]. The authors assume full responsibility for the content of the published article.”

If no AI tools were used, no declaration is required.

For Editors

The use of artificial intelligence by peer reviewers or editors is prohibited in order to protect the confidentiality of the research or reflection.

Consequently, its use must be transparently declared by authors, who retain full responsibility for the originality, integrity, accuracy, and traceability of the content submitted for evaluation.

Retraction Policy

Retraction is a mechanism for correcting the literature and alerting readers about articles whose content or data are so seriously flawed or erroneous that their results and conclusions cannot be trusted. Unreliable content or data may result from honest mistakes, naïve errors, or research malpractice. The main purpose of retraction is to correct the literature and ensure its integrity rather than punish authors. Retractions may be used to alert readers to cases of redundant publication, plagiarism, peer-review manipulation, unauthorized reuse of material or data, copyright infringement or other legal issues, unethical research, and/or failure to disclose a significant competing interest that could have improperly influenced interpretations or recommendations.

Therefore, Escribanía Journal strictly adheres to the guidelines established by COPE regarding grounds for retracting published articles. The general causes for retraction include:

  • Proven falsification of information used during the editorial process.
  • Verification of editorial malpractice by the authors.
  • Failure to comply with ethical principles that should have been observed.
  • Deliberate inclusion of inaccurate or imprecise information.

What Form Should a Retraction Take?

In general, a retraction notice should refer to a single retracted article. Retraction statements must mention the reasons and grounds for the retraction so that readers understand why the article is unreliable. They must also specify who is retracting the article and, possibly, how the matter came to the journal’s attention (complainants may only be named with their permission).

Copyright and Intellectual Property Policy

Publications in Escribanía Journal adhere to copyright regulations (one of the fields of intellectual property) according to Colombian legislation and the provisions of WIPO (World Intellectual Property Organization). Likewise, their circulation is based on the Creative Commons 4.0 Attribution-NonCommercial-ShareAlike license (CC BY-NC-SA 4.0). Articles may be used for academic, non-commercial purposes (without direct permission from the author, provided the source is cited).

Ethics Policy

Aware of the importance of maintaining high ethical standards and the responsibility inherent in scientific publishing, Escribanía Journal adheres to the principles of transparency and good practices in scientific publications proposed by the Committee on Publication Ethics (COPE). In the event of malpractice by authors, the Journal will proceed according to COPE guidelines.

When manuscripts involve information obtained from individuals, communities, or organizations through interviews, surveys, observation, focus groups, case studies, or other research techniques, authors must guarantee informed consent when applicable, confidentiality of information, protection of personal data, and approval by an institutional ethics committee when required by the nature of the study. In Colombia, the processing of personal data must comply with Statutory Law 1581 of 2012 and its regulatory standards.

Personal Data Protection Policy

Escribanía Journal adheres to Statutory Law 1581 of October 17, 2012, of the Congress of the Republic of Colombia, which establishes general provisions for the protection of personal data, as well as Decree 1377 of 2013, with the purpose of guaranteeing the privacy of user data collected through the OJS platform during user registration. Likewise, it adheres to the University of Manizales’ policy on data processing and protection.

The data provided by users upon registration will be preserved and protected in accordance with current regulations and will not be shared without prior authorization from the owner, including email information.
